STALLHOLDER APPLICATION FORM:
If you'd like to apply for a stall at the next fair, please email us at martinboroughfair@xtra.co.nz or phone us on 06 304 9933, give us your contact details, and we'll send you an application form.  And please make sure you get those details to us by October 19th! 

ROTARY HEADQUARTERS during the fair are the Fire Brigade Rooms.  Rotarians wearing white coats should be on duty near you, please ask them for assistance when necessary,  and they will do all they can to eliminate any problem that may arise.

The Fair Convener will be on duty in the Fire Station.  Enter through the SIDE DOOR.

THE ROTARY INFORMATION BOOTH is located next to the Fire Station.  This booth handles LOST PROPERTY and cares for MISPLACED PERSONS.  Calls for misplaced persons are made over the loud speaker system after they have been at the booth about half an hour.  Experience has shown that most are claimed within the first half hour.

STALLS ARE NON-TRANSFERABLE: To ensure the Fair presents a proper balance of product and to ensure Stallholders are known to us, please do not hand over your stall to a third party.

Approval will not be given to someone who claims they have taken over a stall, even if they have "permission" from the current stallholder.   We have a duty to those on our lengthy waiting list, and we think it's only fair (no pun intended) that once a stallholder has relinquished their stall, it should go to the applicant with the product that best suits the needs of the fair at that time, via a formal selection process carried out by the Marinborough Fair Committee. Sharing a stall with a third party is acceptable, however, provided the designated stallholder is in attendance and takes full responsibility.

Failure to observe this requirement may result in the loss of your future stall site entitlement.

TYPE OF GOODS. Please make sure you have given us an accurate  description on the application form of all products to be sold from your stall. This allows us to maintain a balance of quality products at the Fair and  assists in answering enquiries after the Fairs. This includes the products of those with whom you may be sharing a site.

The Committee is concerned that, over the years, some less than desirable products have crept in due to exaggerated or false description of wares. Help us maintain and improve on the Fair’s high standards. We are NOT a flea market!

CIVIL DEFENCE:  We are required to ensure access for emergency services to the entire fair area and the town. A clear way is marked right around the Square and stalls must NOT encroach on this area.

STALL ACCESS: It is a tradition of the Martinborough Fair to allocate the entire grassed area in The Square under the trees, to stalls without measuring walkways separately.  If you  have participated in the past you will appreciate your stall set up must be such as to give customers access to your wares and also to your neighbours wares.

Stall holders that do not co-operate will not be invited back again.

IMPORTANT:  If your stall site is on the grassed area of the Square, PLEASE NOTE there is a water sprinkler system in place, also underground power lines.  Any pegs, etc. that are driven into the ground must be no longer than 400 millimetres.  ANY DAMAGE TO THESE SYSTEMS WILL BE YOUR RESPONSIBILITY. Stallholders are required to treat their environment with respect. For example, nails must NOT be driven into the trees as this would be treated as an act of vandalism, and the consequences would be severe (this has happened in the past, but will not be tolerated in the future).  

NO VEHICLES WILL BE ALLOWED IN THE SQUARE CENTRE.

PARKING:  The four diagonal roads leading out of the Square are kept clear for you to get your vehicles out after you have unloaded.  Stallholders with sites in the Square centre must have their vehicles out no later than 8.00 a.m.  We will enforce this if necessary, as there will be a tow-truck in attendance..

IDENTIFICATION:  PLEASE MAKE SURE THAT YOU AFFIX THE APPROPRIATE STICKER TO YOUR CAR WINDOW, WEAR YOUR STALLHOLDERS ID BADGE, AND BRING YOUR DOCUMENTATION WITH YOU.  WE CANNOT GUARANTEE A SITE OR SERVICES WITHOUT MARTINBOROUGH FAIR IDENTIFICATION.

TRESTLES WILL ONLY BE DISTRIBUTED TO STALLHOLDERS WEARING THEIR ID TAGS.

TRESTLE DISTRIBUTION:

RED TICKETS  -   Right hand side of the Square (Victory Fellowship Gate) Oxford and Jellicoe Street stallholders also get their trestles there

BLUE TICKETS -  Left hand side of the Square (Martinborough Wine Services Yard) Kitchener Street and Cambridge Road stallholders also get trestles here.

GENERATORS:  All types of generator (diesel, petrol, etc) are banned, because they're noisy, generate unpleasant fumes, and are a potential fire hazard.

POWER USE:  The Committee is concerned at the use of long extension leads to stalls, without any apparent use of safety devices. For your own safety and for that of the general public you are required to use Residual Current Devices (RCD).  These must be connected directly to the power board and your extension connected to the RCD. If you are uncertain of the size you require contact your electrician or electrical supplier.  Do remember to bring any other special equipment you need, including extension leads. Your site will be inspected by the Safety Officer. Non compliance- no power!               Do not allow other stall holders to connect extensions to your power outlet.

We're in a position to provide power (at a small charge) to a limited number of stallholders but, in some cases, stallholders have been known to strike a deal with local businesses to use THEIR power instead.  However, you should be aware that you are still required to use an RCD, regardless of how you receive power to your stall.

REMEMBER:   

  • NO CAMPING is permitted in the Square overnight

  • To arrange your own  insurance.

  • You must keep well within your allocated space.

  • To arrange your own change. A change facility operates from the Fire Station, but  is meant to supplement  your own change only.

  • An ATM  is situated in Kitchener Street, but is subject to heavy usage. You may consider it worthwhile to arrange a mobile phone EFTPOS facility with your Bank.

  • To keep all food ingredients chilled and hygienically stored, and all cooking utensils clean and safe.

  • A Health Inspector will be in attendance at both Fairs with power to close stalls judged to breach health and safety regulations.

  • If you create a lot of rubbish you must bring extra rubbish bags.

  • DO NOT LEAVE PACKING MATERIAL, BOXES ETC- TAKE THEM HOME !

  • All food stalls must carry a warranted fire extinguisher.  The Fire Safety Officer will be in attendance to check this.

  • BCF Extinguishers are not acceptable

The Fairs give local organisations a unique opportunity to raise funds for themselves, and about 20% of our stallholders benefit this way.  We do not give discounts or free stalls to charities, but the Rotary Club of the South Wairarapa will consider applications for assistance for special projects.
